How Whimble’s On-Site Service Works
-

Event Organizer Books Whimble
Event organizers book Whimble to provide on-site support for guests, staff, and volunteers with disabilities. Whether it’s a one-time event or recurring program, organizers share event details (date, time, location, guest count) and we handle the rest.
-

Whimble Recommends and Schedules Attendants
Based on the event profile, Whimble recommends the right number of vetted, insured attendants. Organizers receive attendant profiles and pre-drafted copy to promote the service to their guests through email and social media.
-

On-Site Care that Removes Friction
During the event, Whimble attendants assist anyone who needs support with Activities of Daily Living — such as washroom use, eating and drinking, gear changes, or navigating between spaces — ensuring all participants can focus on the experience, not the logistics.
-

Post-Event Accessibility Insights
After the event, Whimble provides a brief summary of accessibility insights gathered from attendants and guests. Organizers also receive a feedback form to share their experience — helping improve accessibility year over year.

Before onboarding, every caregiver candidate is required to provide a recent Vulnerable Sector Check, 2 professional references, proof of valid CPR/First Aid training, and proof of valid professional liability insurance as an independent contractor. All candidates must also undergo a live interview process to review their skills and qualifications and ensure they are familiar with client-directed care.
-
Before new clients are able to start using our beta service to request assistance, we:
1) set up a virtual interview to learn more about their needs and routines; and,
2) conduct a home visit to verify access procedures to the home, confirm necessary equipment is in good working order, etc.
-
We do not provide emergency medical assistance — if someone is facing a life threatening emergency (or otherwise dangerous situation), please call 911.
-
We work with the event organizers to ensure the Whimble attendants are stationed in a visible location for the maximum number of attendees. All attendants wear white t-shirts with large Whimble logos. And for very large events happening in multiple spaces, we can provide a 1-800 phone number for guests to call and request service at a specific location.
-
Whimble currently supports individuals and events across the National Capital Region (Ottawa) and the Greater Toronto Area.
